Ask: where are requests waiting longest, and is the due date realistic?
Decide: re-prioritize, adjust intake, or add temporary capacity?
Review: which request types are returned most, and is intake missing information?

Decide: re-prioritize, adjust intake, or add temporary capacity?
Ask the client services lead: what would bring it back on track?
Head of Client Services: Is a short-term reallocation acceptable while intake is redesigned?
Chief operating officer: Can department leads approve smaller purchases without a finance review?
Operations manager: Is the new intake form ready to become the only route for requests?

Visible ownership from intake to resolution.
For operations and process owners
The decision it supports

Improve the client experience
Launch client onboarding checklist
Give new clients one shared checklist so onboarding steps stop living in individual inboxes.
Done means
Every new client is onboarded from one shared checklist filled from a single client record, and Client Services keeps it current.
- Owner
- Client Services lead
- Status
- Blocked
Why it is blocked
The checklist needs client details that currently arrive through three different channels. Until intake is consolidated and the owner of client records is agreed on, the checklist would repeat the same manual retyping.
Decision needed
Agree on which team owns client records during onboarding.
